Privacy & your contacts

Your account: the name and email address you sign up with, plus basic activity like when you last used the site.

Your contacts: the first name, last name, email, phone and mailing address you add or import into your contact list.

Your address book: the street addresses, city, state and zip you save for printing labels and envelopes.

Guest responses: the name, email and any answers a guest gives when they reply to an invitation, signup or survey you created.

Contacts are used for one thing: sending the invitations, signups and surveys you choose to send them, along with the reminders attached to those events.

Guest responses are shown to you, the organizer, so you can see who is coming and what they signed up for.

We use aggregate usage information to keep the service running and to decide what to build next.

We only text a mobile number after the person who owns it has opted in themselves. An organizer adding your number to their contacts is not consent and does not enable texting.

You can opt in from the banner on our mobile site, from the checkbox on any response screen, from tallygather.com/text-updates, or by replying YES to a one-time opt-in request. One opt-in covers every TallyGather event you're invited to.

Opting in means you agree to receive text messages from TallyGather about events you're invited to — invitations, reminders, and photo requests. Message frequency varies. Message and data rates may apply.

We record the date, the wording you agreed to, and where you opted in, so there's a clear consent record behind every text we send.

Reply STOP to any message to stop all TallyGather texts immediately. Reply HELP for help (support@tallygather.com), or YES to opt back in. Opting out applies everywhere, across every organizer.

We don't send texts outside 8am–9pm local time, to respect quiet hours.

We never sell or share your mobile number, and we don't send marketing or promotional messages.

Sharing is always opt-in: nothing leaves your account until you decide to share it.

You can share individual contacts, people groups, and address lists with a specific TallyGather account you name. There is no all-or-nothing switch and no default sharing.

Shared people groups and address lists can be co-managed — the people you invite can add, edit and remove entries alongside you. You stay the owner and can revoke access at any time.

You choose what they can do: co-manage the shared list (add, edit and remove entries), view and use it to send their own invitations, or view only. Shared lists stay owned by you.

The person you share with can't re-share your contacts or lists with someone else, and they can't export what you shared unless you allow it.

You can stop sharing at any time. Access ends immediately, and the shared contacts and lists disappear from the other account's view.

If you delete a contact, a list, or your account, the shared copies go away too.

Sharing only ever happens between accounts you pick. We never publish your contacts, lists or addresses, make them searchable, or suggest them to other users.

TallyGather uses AI in a few places: the Assistant, the poster and design generator, AI pictures in chat, and small helpers like grammar cleanup on invitation text.

AI requests are processed by our AI provider (the Lovable AI Gateway and the underlying model providers, currently Google Gemini and OpenAI models). Only the text or image needed for that one request is sent, and it is sent over an encrypted connection.

We do not permit your data to be used to train third-party AI models, and prompts are not retained by us beyond what is needed to show you the conversation.

The Assistant can look at your own contacts, tasks, calendar, events and lists to answer your questions. It can only ever see data your own account already has access to — the same database rules that protect your workspace apply to it.

Before the Assistant creates anything or sends an email on your behalf, you see a confirmation card and have to approve it. Nothing is sent silently.

Every Assistant tool call — what it looked up, what it created, who it emailed — is written to a private activity log on your account, and the number of messages it can send for you is capped each day.

Text stored in your records (a contact note, a task title) is treated strictly as data by the Assistant, never as instructions, so a record cannot make it act on your behalf.

Guest responses, contact details and chat contents are never used to generate content for anyone else, and AI output is never shared between accounts.

AI output can be wrong. Check dates, names and addresses before you rely on them or send them out.

You can avoid AI entirely: every AI feature is optional, and the rest of TallyGather works without it.

We never sell or rent your contact list.

We never share your contacts with advertisers or data brokers.

We never share your contacts with another TallyGather user unless you explicitly share them.

We never email your contacts on our own behalf — only the messages you send.

We never feed your contacts, guest responses or chats into AI model training.

We don't track guests across other websites.

TallyGather is free to use and does not currently show advertising. If we ever introduce ads, they will be contextual only — never targeted using your contact list, your guest responses or anything you type into an invitation — and we will update this policy first.

We use Google AdSense to display ads. Google and its partners may use cookies and similar technologies to serve ads based on your prior visits to this and other websites. You can opt out of personalized advertising by visiting Google's Ads Settings (google.com/settings/ads).

If you are in the European Economic Area, the United Kingdom, or Switzerland, you will see a consent banner before any advertising cookies are set. You can accept or reject advertising cookies at that point, and your choice is remembered on future visits. Your consent choice is passed to Google through the IAB Transparency and Consent Framework.

Essential cookies needed to run the site — such as keeping you signed in or remembering your preferences — are always used, regardless of your advertising consent choice.

Your contacts are tied to your account and protected by database-level access rules, so no other TallyGather user can read them unless you've shared them.

Data is encrypted in transit and at rest by our database provider.

Guests never need an account, so we don't hold passwords for them.

We keep your contacts, addresses, people groups, events and guest responses only for the lifetime of your active account. When the account goes, the data goes.

Anything you delete inside the app is removed from your workspace immediately and purged from our systems within 30 days.

If an account is unused for 24 months, we email you first and then close it and erase its data.

The only things we keep afterwards are records we are legally required to hold, such as payment receipts for tax purposes, and text-message consent and opt-out records — kept so we can prove we had permission and honour a STOP.

You can export your contacts, addresses, signups and survey answers to CSV at any time.

Your right to erasure: from Your data & account in the account menu you can permanently delete your account yourself. It runs a cascading delete that wipes your login and every row tied to it — contacts and their names, phone numbers and mailing addresses, people groups, invitations, signups, surveys, votes, guest responses, chats, tasks and calendar entries.

Deletion is immediate and permanent. There is no recovery window, and anyone you had shared a list with loses access at the same moment.

Deleting a single contact, list or event works the same way for that record alone.

If you would rather we do it, email privacy@tallygather.com and we will erase your data and confirm when it is done.

Your content is yours. Your contacts, lists, photos, invitations, guest responses and messages belong to you. You grant TallyGather only the limited licence needed to host, process and deliver them for you, and that licence ends when you delete the content or your account.

The Service is ours. The TallyGather software, database design, page layouts, templates, written copy, illustrations, videos, the TallyGather name and the wordmark are owned by TallyGather and protected by copyright, trademark and trade-secret law. © 1970 TallyGather. All rights reserved.
